Using Adobe Acrobat to Redact Sensitive Information from PDFs
Step 1: Open the PDF in Adobe Acrobat
- Launch Adobe Acrobat on your computer.
- Click on "File" in the top menu bar and select "Open" to browse and open the PDF file you want to redact sensitive information from.
Step 2: Activate the Redaction Tools
- In Adobe Acrobat, click on "View" in the top menu bar.
- Select "Tools" from the drop-down menu.
- In the right-side pane, find and click on "Redact."
Step 3: Select Text or Images for Redaction
- Once you've activated the redaction tools, you can choose between two options for selecting text or images:
a) To select specific text for redaction, click on the "Mark for Redaction" button. Then, drag your cursor over any text within the document that you want to remove. Repeat this step for all sensitive information areas.
b) To select images or other graphical elements for redaction, click on the dropdown arrow next to "Mark for Redaction". Choose either “Text & Images” or “Images Only”. Using your cursor, click and drag a box around each image or graphical element that contains sensitive information.
Step 4: Review Selected Items before Applying Redactions (Optional)
- If desired, it is recommended to review all selected items before applying redactions. This step ensures that only necessary content will be removed without affecting important parts of your document.
- To review selected items individually, right-click each highlighted area and choose “Properties.” Make sure these are indeed sections containing sensitive information.
- If necessary, use Ctrl+Z (Windows) / Command+Z (Mac) keyboard shortcut keys or right-click > “Remove Properties” options if incorrect selections were made.
Step 5: Apply Permanent Redactions
- Once you have selected all the sensitive information to redact, click on the "Apply Redactions" button in the right-side pane.
- A warning message will appear, reminding you that redactions are permanent and cannot be undone. Ensure you've double-checked your selections before proceeding.
- Click on "OK" to apply the redactions.
Step 6: Save Your Redacted PDF
- After applying the redactions, save your document to preserve all changes made.
- Click on "File" in the top menu bar and select "Save" or press Ctrl+S (Windows) / Command+S (Mac).
- Choose a location on your computer where you want to save the redacted PDF and give it a new name if desired.
- Click on "Save."
Step 7: Sanitize Document Metadata (Optional)
- To further protect privacy when sharing or distributing sensitive documents, consider sanitizing document metadata. Metadata is hidden information embedded within PDF files that may include author names, timestamps, revision histories, etc.
- In Adobe Acrobat:
- Click on “File” in the top menu bar and select “Properties.”
- In the Properties dialog box that appears, go to “Additional Metadata.”
- Select any unwanted metadata properties listed under “Remove Hidden Information” by checking their checkboxes.
- Finally, click on “OK.”
